Podio vs REsimpli vs PropStream: Which CRM Should Wholesalers Pick in 2026?

An honest, side-by-side breakdown of Podio, REsimpli, and PropStream for real estate wholesalers — pricing, pain points, and which one actually scales.

4 min readBy Draco Automation

If you're a wholesaler shopping for a CRM in 2026, the same three names keep coming up: Podio, REsimpli, and PropStream. They look similar from the outside — pipelines, lead intake, follow-up automation — but the moment your team grows past two or three users, the differences start costing you real money.

We've migrated dozens of investors between these platforms over the past few years. Here's the honest breakdown — what works, what hurts, and which one you should actually pick.

The 30-second answer

  • Pick REsimpli if you want a turnkey product, you're a solo operator or small team, and you don't mind paying a per-user premium forever.
  • Pick PropStream if your bottleneck is data sourcing, not pipeline management. PropStream is a list-pull tool with a CRM bolted on, not the other way around.
  • Pick Podio if you want a CRM that's actually yours — fully customizable, no per-seat fees, and built around how you wholesale instead of someone else's template.

For most teams doing serious volume, Podio is the long-term winner. Here's why.

Pricing math: where REsimpli quietly bleeds you

REsimpli starts at around $99/user/month for the standard plan. That sounds reasonable until you scale.

A 6-person team — owner, two acquisitions, two dispo, one VA — runs ~$594/month on REsimpli. Over a year, that's $7,128. Over three years, $21,384. And that's before SMS credits, skip tracing add-ons, or premium features.

Podio's base plan starts at $11.20/user/month for the team plan, with no per-feature gates. The same 6-person team costs ~$67/month — that's $2,400 over three years, against $21K on REsimpli. The math is brutal once you do the multiplication.

PropStream is even more constrained: $99/month for the base data plan, $99 more for the skip-tracing add-on, and no real CRM workflow on top. You'll still need a separate pipeline tool.

Customization: the part nobody talks about

Every wholesaling business is slightly different — your acquisition stages, your follow-up cadence, your handoff between cold callers and dispo. SaaS CRMs force you into their template. Want a custom pipeline stage? File a feature request and wait.

Podio inverts this. You build the fields, the stages, the workflows, the views. Need a "Pre-foreclosure pipeline" with custom fields for auction date and judgment amount? You build it in 20 minutes. Want round-robin auto-assignment based on which VA is online? You wire it up with a free GlobiFlow workflow.

The REsimpli equivalent of this? It doesn't exist. You get what they ship.

Integrations and lock-in

REsimpli integrates with the tools they've partnered with. PropStream is an island.

Podio plays with everything through Zapier, GlobiFlow, and direct APIs — Smarter Contact, BatchLeads, CallTools, Twilio, smrtphone, DocuSign, Google Workspace, you name it. Migration into Podio is straightforward; migration out of REsimpli often means rebuilding from scratch because their data model is opaque.

Where SaaS CRMs actually win

To be fair: REsimpli's onboarding is faster. You sign up, watch a couple of videos, and you're live in an hour. Podio takes a real implementation — that's why we exist as a build service.

REsimpli is also better if:

  • You're solo, or a partner duo, with no plans to scale past 3 users.
  • You hate technical setup and would rather pay a premium to never think about it.
  • You don't have specialized workflows — generic acquisition + dispo is enough.

For the rest of the wholesaler population — anyone with a team of 4+, anyone running multiple lead sources, anyone who wants to own their data — Podio wins on every dimension that matters at scale.

What about Investorfuse, REI BlackBook, FreedomSoft?

Quick takes:

  • Investorfuse — Podio-built under the hood, similar customizability, but their pricing has crept up. If you're already on it, no urgent reason to switch. If you're choosing fresh, a custom Podio build typically gives you more for less.
  • REI BlackBook — solid but rigid; same per-user trap as REsimpli.
  • FreedomSoft — older platform, the UI shows it. Hard to recommend in 2026.

The honest catch with Podio

Custom Podio builds aren't plug-and-play. If you don't have a technical co-founder or a build partner, you'll spend 40-80 hours figuring out fields, automations, and integrations. Most wholesalers don't have that time.

That's where a managed build service makes sense — a custom Podio CRM build that ships in 14 days and includes the lead pipelines, SMS integration, DocuSign automation, and round-robin assignment already wired up. Then you own it forever. No per-user creep.

Bottom line

If you're under 3 users and don't care about owning your stack — REsimpli is fine.

If you're growing, doing real volume, and tired of paying for someone else's roadmap — Podio is the answer. The upfront build pays for itself within 60-90 days against what you'd otherwise pay in SaaS fees.
